IFTA exports may be missing data. Please read below for details.
What data is missing?
Certain gas stations and truck stops, such as Marathon, Circle K, CITGO, Arco, and Walmart, are unreliable when reporting gallon data to VISA for your transactions. An absence of accurate gallon data can happen as frequently as 1 in 10 times.
When AtoB processes a transaction from VISA with missing fuel data, it won't appear in this IFTA export.
How can I address this missing gallon issue?
-
In the Transactions page of the AtoB Dashboard, download an export of type
'All Transaction Data' for the same date range of your IFTA export. This file contains every transaction
you make with your AtoB card, regardless of whether it is for fuel or another approved expense type, like maintenance bills. -
Filter this export of transactions to those with 'Type' as 'Other'. These are
transactions that could not be verified as diesel purchases. -
Comb through this list of 'Other' type transactions and make note of those which you
suspect are diesel purchases. To make note, you can overwrite the 'Other' value in the
'Type' column with something like 'Likely Diesel', or make a new column for this note. -
Isolate the transactions you suspect are diesel purchases. Cross reference these with
your receipts and fill in the 'Type' and 'Gallons' columns with the corrected data as
necessary. -
For the transactions you have corrected using your receipts - manually add
these to your IFTA export, line by line. You will need to fill in the 'Jurisdiction' state
by referencing the 'Location' column from the Transactions export. Please also note that you
will need to re-calculate the total gallons by jurisdiction state found at the end of the
IFTA report.
